Privacy Policy

MachineKeep is fleet maintenance and asset-management software offered from South Australia, Australia. We run the MachineKeep website, the in-browser application, and the support channels linked from them. For anything in this policy — including access, correction, or deletion requests — contact us at contact@machinekeep.com.au.

We collect information you provide directly when you:

• Create an account (name, email address)
• Enter data into the app (customer details, asset records, service logs, parts reference, pre-start checklists)
• Contact us for support
• Subscribe (billing handled entirely by Stripe — we never see card details)

We also automatically collect basic usage data (page views, errors) to help us improve the service. We do not use advertising trackers or sell this data.

• To provide, operate, and improve MachineKeep
• To process payments and manage your subscription via Stripe
• To respond to your support requests
• To send you important service notices (we will not send marketing emails without your consent)

All data you enter into MachineKeep — your customers, assets, service records, and parts — belongs to you. We do not sell, rent, or share your data with third parties for marketing or any other commercial purpose.

Your data is stored on Australian servers (AWS Sydney region, ap-southeast-2). It does not leave Australia.

We use industry-standard encryption (TLS/HTTPS) for all data in transit. For email and password sign-in, passwords are stored only as secure one-way hashes (not plain text). We also support Google Sign-In. Payments are handled entirely by Stripe.

We use only the cookies necessary to keep you signed in and make the app function. We do not use advertising cookies, tracking pixels, or third-party analytics that share your data.

We use the following third-party services to operate MachineKeep:

• Stripe — payment processing. Stripe Privacy Policy
• Google — authentication (Google Sign-In)
• Netlify — website hosting
• Neon — secure database hosting (AWS Sydney)

Under Australian Privacy Law, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and all associated data
• Export your data at any time

To exercise any of these rights, email contact@machinekeep.com.au. We will respond within 30 days.

We retain your data for as long as your account is active. If you cancel, your data is retained for 30 days so you can export it, then permanently deleted.

We may update this policy from time to time. We will notify you by email before any material changes take effect. The date at the top of this page reflects when it was last updated.
